Scanning Overview: Coding Concepts’ web-enabled scanning module allows clients to scan, transmit and verify source documents efficiently and securely. Customized options are available to extract patient data from scanned documents in order to index and tag batches without keyboard entry. Storage and retrieval of documents by multiple criteria is also available. Scanning can be set up very economically for the sole purpose of facilitating coding or can be expanded to accomplish much more.

The distributed capture solution is completely browser-based for easy remote scanning, indexing, verification, and administration. Coding Concepts provides a secure distributed capture solution that supports industry standard browsers and can be programmed with custom rules-based workflows.

Requirements: In most cases, Coding Concepts can work with your existing scanning equipment (if Twain or ISIS compatible) or suggest reasonably priced new equipment (see below). If a scanning operation is not already configured, a basic desktop computer with a decent internet connection will be required to communicate with the scanner locally and Coding Concepts’ secure servers across the Internet. While most computers and Internet connections are adequate, a good high-speed connection and a newer desktop (under $500) is highly recommended.

Suggested Scanner: The Fujitsu 4120C2 has become the unit of choice for many new installations and is highly recommended. Its desktop footprint is very small and it scans duplex (both sides) at 25 sheets per minute. The unit is available on the internet or can be purchased through Coding Concepts.

Scanning Application: Because the entire process is web driven, no resident client application needs to be installed on the local PC. Access to all three functions (scan, transmit and verify) is available as concurrent seat licenses. Since the licenses are concurrent, you do not need one for each named user, but only enough to accommodate the maximum number of users who need to work simultaneously.

Custom Programming and Interfaces: Basic chart scans require no custom programming but do not tie the individual batches of documents to a specific patient and are not able to be utilized or cross referenced by patient data.Coding Concepts employs unique technology that allows automated indexing of key patient information (without keyboard entry) to sort, route, display and utilize your documents where and as needed—as well as populate (or cross reference) a current or future EMR.

Data extraction and indexing can often be accomplished without expensive HL7 interfaces. Images can be made available in any popular format (i.e. .tif) and captured data and index information can be exported into various data tables and in many formats, including ASCII, HTML, PDF, XML, HL7, or text (MS Word, etc.). You can also output data to business applications, such as your insurance claim adjudication system, or interface to ODBC-compliant databases.

In addition to coding, popular uses include EOB reviews, claims processing and reconciliation, and integration with existing or future patient data repositories. Automated data extraction is a custom process that can be quoted on a per case basis.
